Privacy at Vanillapha.

Who we are

This privacy policy applies to Vanillapha Inc. ("Vanillapha", "we", "our", "us"), a Canadian corporation federally incorporated and registered to operate in Ontario, Canada. It applies to vanillapha.com and to the products we operate, including Fantpage, CanCertify, and Vocert (each, a "Service").

What we collect

We collect only what is necessary to operate a Service:

  • Account data — name, email address, and a password hash when you sign up, plus any profile information you choose to add.
  • Service data — content you create or upload when you use a Service (for example, the books in your Fantpage library, the permits you track in CanCertify, or the recordings you make in Vocert).
  • Operational telemetry — diagnostic information such as crash reports, latency, and error traces, used to keep the Service running.
  • Cookies / local storage — strictly to keep you signed in and remember your preferences. We do not run third-party advertising trackers.

How we use it

We use your information to:

  • Provide, operate, and maintain the Services.
  • Authenticate you and secure your account.
  • Communicate with you about your account or the Services.
  • Diagnose issues and improve reliability.

We do not sell personal information, and we do not share it with third parties for their own marketing.

Vocert and audio recordings

Vocert records audio at your explicit direction. Recordings are stored on your device by default and are only uploaded to Vanillapha if you choose to run cloud-based analysis or back them up. Analysis runs against the audio you provide — it is not used to train shared models.

How long we keep it

We keep your information only as long as needed to provide the Service or as required by law. You can delete your account at any time, which removes your personal data on a defined schedule. Operational telemetry is retained for a limited window for reliability purposes and is deleted afterwards.

Your rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or export your personal information, or to object to certain uses. To exercise any of these rights, write to contact@vanillapha.com.

Security

We encrypt data in transit and at rest, restrict access to those who need it, and design systems with minimum-necessary access in mind. No system is perfect, but we will tell you promptly if something material happens.

Children

Our Services are not directed at children under 13, and we do not knowingly collect personal information from them.

Changes

If we materially change this policy, we will update the date below and, when appropriate, notify you in the Service.
